With over 1000 experts and leaders invited from Asia and beyond, the 38th ARC will be an excellent platform for exhibitors to extend their reach beyond borders and maximize exposure of their company/organization. Exhibition Hours 

The Exhibition will be open from 17h00* on Tuesday, 18 February 2020 to 19h00* on Friday, 21 February 2020.
* Times are subject to change.

Location 

The Exhibition will take place in Hall 9, at the CTICC 2.
Lunch as well as Morning and Afternoon Refreshments will also be served in Hall 9, to allow exhibitors to maximize networking opportunities with participants, other exhibitors and visitors.

Booth Options

There are 2 booth options available;

1) 1 Standard Booth - US $5,000

  • Booth Size: 3m x 3m x 2.4m.
  • Package: Lighting & Electricity (15amp plug) / 1 Branded Lockable Counter / 2 Barstools / 1 Company Name Board.
  • Benefits of Booth: 1 Free Registration + 50% discount (1 additional person) / Logo Exposure on Website

Note: Any additional Signage / Audio Visual Equipment / Furnishings / Lighting & Power requirements, over and above the package, will need to be requested upon application and will come at an additional fee.

2. 2 Standard Booths – US $8,000

  • Booth Size: 6m x 3m x 2.4m.
  • Package: Lighting & Electricity (15amp plug) / 2 Branded Lockable Counters / 4 Barstools / 2 Company Name Boards.
  • Benefits of Booths: 2 Free Registrations + 50% discount (1 additional person) / Logo Exposure on Website.

Important dates

  • Tuesday 18 February 2020 – Exhibitor Set-Up (09h00 – 15h00).
  • Tuesday 18 February 2020 – Exhibition Opens (17h00 – 19h00).
  • Wednesday 19 February 2020 - Friday 21 February 2020 – (08h00 – 19h00 daily).
  • Friday 21 February 2020 - Exhibition Closes (19h00).

Note: All exhibitors need to have their stands cleared by no later than 21h00 on Friday 21 February 2020.

TERMS AND CONDITIONS

1. Terms of Reference
1.1. “Participants” refers to the companies, associations, organizations that submit the application to participate in “Sponsorship & Exhibition” at the 38th Asian Racing Conference (38th ARC).1.2. “Host Organization” refers to the 38th ARC Organizing Committee.

2. Assignment of Booth Location
2.1. The Host Organization will assign a space in accordance with the level of sponsorship, order of application with application lodgement payment, and the nature of exhibit.2.2. The Host Organization may change the assigned exhibition location at any time prior to the Exhibition if it considers that such change is necessary for the overall operation of the exhibition hall. Such a change will be made at the sole discretion of the Host Organization and the Participants may not claim compensation for the result of any change.

3. Application
3.1. An entity that wishes to participate in the “Sponsorship & Exhibition” shall prepare and submit the application to the Host Organization.

4. Use of Exhibition Hall
4.1. Participants must set-up and remove exhibits within the notified time and if Participants fail to meet the deadline, the Participants shall compensate for any delays or damages to the Host Organization.

5. Safety Measures
5.1. The Participants will be responsible for safety management, such as preventive action, maintenance, or repair of any risk in booth structures or exhibits, for visitors’ and other Participants' safety. The Host Organization will be not liable for any accidents or personal injury occurring in the exhibit booth caused by the Participants' non-performance of safety management duties.5.2. The Participants will not violate rules of CCTIC 2 during the period of installation or removal of booth structure and/or exhibits. If there is evidence supporting serious violation of rules, the Host Organization has an authority to remove the booth or other structures of the relevant Participants for the smooth operation of the exhibition, and any costs and expenses shall be borne by the applicable participants

6. Management of Exhibition Hall
6.1. In the event that Participants exhibit any items different from the exhibits specified in advance or any items that are not appropriate to the nature of the Exhibition, or attempt to sell any items directly to visitors without approval of the Host Organization, the Host Organization may order immediate suspension or removal of the items. In such cases, the fees shall not be refunded.

7. Cancellation of Sponsorship and Exhibition
7.1. If Participants cancel their participation after submission of the application form, the Participants shall pay cancellation fees specified in the following.- Any paid fees or shortage shall be additionally paid, or any surplus shall be returned.- Before September 30, 2019: Refund of 80% of the fees- October 1 - December 31, 2019: Refund of 50% of the fees- January 1, 2020 onwards: No refund

8. Change of Sponsorship and Exhibition
8.1. If the Conference is cancelled, or its schedules are changed due to special circumstances not attributable to the Host Organization, such as Force Majeure, the fees will not be refunded.

9. Others
9.1. When necessary, the Host Organization may issue supplementary regulations in addition to the above terms and conditions and those regulations must be respected by all Participants.
